- The selected Calendar Sync setting.
- Whether the resources are configured as seat resources or room resources.

🚨 WARNING
Before purchasing F1 licenses at scale, Maptician recommends trialing a small number of synced resources first to confirm that F1 licensing is sufficient for your environment. This allows you to validate the configuration before committing to a full deployment.
If F1 licensing does not meet your needs, you can upgrade to E3 licenses instead.

The selected Calendar Sync setting determines whether the Exchange resource mailbox or the reservation owner becomes the Outlook event organizer. This setting applies globally across all synchronized Exchange resources within a client's Maptician environment, including both seat and room resources.

User Calendar Delegation / Calendar Strict Mode
When Maptician's User Calendar Delegation / Calendar Strict Mode Calendar Sync setting is enabled:
- The Exchange resource mailbox becomes the Outlook event organizer.
- The reservation owner is added as an attendee.
- The resource mailbox behaves more like an active user mailbox rather than a traditional Exchange resource mailbox.
This behavior applies to both seat and room resources.
Why E3 Is Recommended
For this configuration, Maptician generally recommends Microsoft E3 licensing for Exchange resource mailboxes. E3 licenses provide a more complete and stable Exchange Online experience for organizer-based workflows, including:
- Full Exchange Online mailbox capabilities.
- Improved compatibility with Outlook and Microsoft Graph organizer workflows.
- More reliable handling of calendar updates, cancellations, and attendee notifications.
- Fewer authentication and mailbox policy limitations.
- Better long-term scalability and supportability for delegated calendar operations.
Seat Resource Considerations
For seat resources, E3 licensing is recommended when:
- The seat mailbox acts as the event organizer.
- The client requires delegated calendar workflows.
- The seat resources are expected to behave similarly to active user mailboxes.
F1 licensing may work for lightweight organizer-based workflows, but clients may encounter limitations related to:
- Outlook integration.
- Exchange Online mailbox functionality.
- Mailbox storage quotas.
- Microsoft Graph organizer workflows.
- Exchange Online supportability.
Room Resource Considerations
For room resources, E3 licensing is strongly recommended because many organizations use room mailboxes for:
- Microsoft Teams meeting scheduling.
- Microsoft Teams meeting participation.
- Outlook room booking workflows.
- Shared calendar management.
- Meeting lifecycle coordination.
Room mailboxes operating as organizers typically benefit from the more complete Exchange Online and Teams integration capabilities provided by E3 licensing.
User Owner Organizer Mode
When the User Owner Organizer Calendar Sync setting is enabled:
- The reservation owner becomes the Outlook event organizer.
- The Exchange resource mailbox is added as a location/resource attendee only.
- The resource mailbox continues functioning as a traditional Exchange resource mailbox.
This behavior applies to both seat and room resources.
Room Resource Considerations
For room resources:
- E3 licensing is still commonly recommended, even in User Owner Organizer Mode.
- Many clients use rooms for Microsoft Teams integrations and meeting participation workflows.
