The home and organization dashboards in Maptician provide a live, personalized view of your workspace including seats, rooms, people, and upcoming events. Depending on your role and permissions, you may see any of the widgets listed below.

⚙️ Dashboard Permissions and Location Filtering

Within Maptician, you can specify which permission groups can view or access specific home dashboard widgets. To configure these settings, go to Occupants > Permission Groups > Dashboard dropdown.

From here, you can enable or disable individual widgets for each permission group and choose which locations are visible within those widgets. For example, you may choose to allow the New York team to view only New York maps. Once the desired options are selected for a permission group, click Save Permissions.

If a widget appears blank, it typically means you do not have access to the associated location.


Location Reservations 

Displays a live, interactive thumbnail of all reservable seats and rooms in your location.

  • Green: Reservable rooms or seats that are currently available.
  • Dark Gray: Reservable rooms or seats that are unavailable due to restrictions on the resource.
  • Red: Reservable rooms or seats that are unavailable due to an active reservation.
  • Blue: Your reserved rooms or seats.
  • Light Gray: Rooms or seats that are not configured to be reservable.

When you hover over a color status in the list, the corresponding resource objects on the map will enlarge, allowing you to quickly see which items match that status.

Click anywhere within the map area to open the interactive map viewer. Once inside the map viewer, you can select the room or seat you would like to reserve.


Room Reservation Status

Shows a live view of all reservable rooms and their current availability. This dashboard widget updates in real time as reservations are made, as they end, or are canceled.

  • Available (green): Reservable rooms that are currently available.
  • Reserved (red): Reservable rooms or seats that are unavailable due to an active reservation.
  • My Reserved (blue): Your reserved rooms.
  • Unavailable (dark gray): Rooms that are currently unavailable.

When you hover over a color status in the list, the corresponding rooms on the map will darken, allowing you to quickly see which items match that status.

Click anywhere within the map area to open the interactive map viewer. Once inside the map viewer, you can select the room you would like to reserve.


Room Types 

Displays a visual breakdown of the five room types available in the selected map: Conference, Meeting, Office, Break Room, and Restroom.

When you hover over a listed room type, the corresponding rooms on the map will darken, allowing you to quickly identify which spaces match that type.

Click anywhere within the map area to open the interactive map viewer. Inside the viewer, you can select a room to book a reservation or view additional details if the room is not reservable.


Seat Status

Shows a live map of seats, their usage type, and current status.

  • Unassigned (light gray): Seats that are configured to be assigned, but are not currently assigned to any user.
  • Assigned (blue): Seats that are configured to be assigned and have a user assigned to them.
  • Available (green): Reservable seats that are currently available.
  • Unavailable (dark gray): Reservable seats that are unavailable due to restrictions on them.
  • Reserved (red): Reservable seats that are unavailable due to an active reservation.

When you hover over a color status in the list, the corresponding seats on the map will enlarge, allowing you to quickly identify which seats match that status.

Click anywhere within the map area to open the interactive map viewer. Inside the viewer, you can select a seat to reserve or view additional details about the seat if it is set to not be reservable.


Seat Summary

Displays live counts for seat types within a location based on their configured usage type.

  • Occupied (red): Seats that are configured to be assigned and have a user assigned to them.
  • Unoccupied (blue): Seats that are configured to be assigned but are not currently assigned to any user.
  • Reservable (green): Seats that are set to be reservable, regardless of their current availability.
  • Open Seats (light blue): Seats that are set as open or “check-in” seats.
  • Closed (light gray): Seats that are closed and cannot be reserved or assigned.

When you hover over a seat usage type in the list, the corresponding seats on the map will enlarge, allowing you to quickly identify which seats match that usage type.

Click anywhere within the map area to open the interactive map viewer. Inside the viewer, you can select a seat to reserve or view additional details for seats that are not reservable.


Office Presence

Displays the most recent presence status for each occupant based on their seat schedule.

  • In Office (green): The occupant assigned to the seat is currently tracking as being on location.
  • Remote (blue): The occupant assigned to the seat is currently tracking as remote.
  • On Leave (gray): The occupant assigned to the seat is currently tracking as on leave.

Presence information only appears for occupants who have their Presence Mode set to “Track and Display”.

⚠️ Note: Presence data reflects tracking status only. An “In Office” status does not guarantee the occupant is physically at their seat.


Planned Schedule

Displays a hybrid thumbnail view of the selected map, showing seat occupancy status along with a directory list of occupants assigned to those seats. This widget can be set to display a future date and time, making it ideal for planning team office days and managing hybrid work schedules.

  • Green: The occupant assigned to the seat is currently tracking as in the office based on their Presence status.
  • Blue: The occupant assigned to the seat is currently tracking as NOT in the office based on their Presence status.

The directory list on the right side of the widget displays all occupants assigned to seats within the selected map. You can search for a specific user or filter the list by department.

When you hover over an occupant’s name in the directory, their corresponding seat on the map will enlarge and highlight in red, allowing you to easily locate their seat on the map.


Company Bulletin

Displays upcoming events and announcements customized for your organization, department, and location.

Bulletin types can include:

  • Company meetings and announcements
  • Social events
  • Policy updates
  • Location-specific alerts
  • And more

If a bulletin is configured as an event, an Email to Calendar button will appear. Selecting this button sends you an email invite that automatically adds the event to your calendar.


Location Occupancy

Displays the current seat occupancy percentage for each location. This percentage represents how many available seats are actively assigned or in use.

Occupancy is calculated using the following formula: 

Occupancy % = (Assigned Seats ÷ Available Seats) × 100

This gives a quick view of how efficiently each location’s seating is being used. For example, if a location has 100 available seats and 45 of them are assigned, its occupancy rate will show as 45%.

The percentages shown in this widget are the same as those displayed in the Occupancy column of the Location Summary report.


Seat Utilization

Displays a gauge showing the overall seat occupancy and utilization across all locations. This provides a high-level view of how effectively the organization is using its available seating.

Occupancy is calculated by summing all assigned seats across locations and dividing by the total number of reservable seats, using the following formula: 

Occupancy % = (Total Reservable Seats ÷ Total Assigned Seats) × 100

The gauge reflects the combined utilization of all locations, providing a snapshot of overall seat usage.


Organization Presence

Shows a donut chart visualizing the current presence status of all occupants across your organization. This helps identify how many people are working in-office, working remotely, or are on leave on a given day.

The chart segments are calculated by counting the number of occupants in each status category:

  • In Office: the number of occupants currently tracking as being on location.
  • Remote: the number of occupants currently tracking as remote.
  • On Leave: the number of occupants currently tracking as on leave.

The chart provides a quick, visual snapshot of workforce distribution, helping other users understand office occupancy and plan resources accordingly.


Lease Expirations

Displays a donut chart showing all active leases, grouped by the amount of time remaining on each. Useful for tracking upcoming lease renewals and long-term occupancy planning.


Seats Distribution

Shows a donut chart that breaks down all seats across locations by their configured usage type: assignable, reservable, or flex. This view is based solely on configuration and is independent of current seat availability or assignment status.

The chart provides a quick overview of how seating resources are structured across the organization.


Annual Cost Per Seat

Displays the total annual lease cost divided by the total number of seats across all active lease locations. This metric helps measure and compare seat cost efficiency throughout the organization.

Only locations with active leases are included in this calculation. The same value is also available in the Seat Cost Measure by Office report.


Average Cost Per SQFT

Shows the weighted average annual lease cost per square foot across all active leased locations. This metric helps benchmark and monitor portfolio-level cost performance over time.

Average Area Per Seat

Displays the total square footage of all locations divided by the total number of seats across those locations. This metric provides insight into how much space, on average, is allocated per seat.

Square footage values are pulled from active leases, and only locations with active leases are included in this calculation.


Room Reservations

Shows your active and upcoming room reservations for the next seven days, where you are either the reservation owner or an attendee. The widget displays the following details for each room reservation:

  • Location name
  • Floor name (if applicable)
  • Suite number (if applicable)
  • Room name
  • From date and time: also known as the start of the reservation
  • To date and time: also known as the end of the reservation

You can use the < and > icons at the bottom corners of the widget to quickly navigate between multiple reservations. Additional icons provide quick access to common actions:

  • Star icon: favorite or unfavorite a room resource
  • Calendar icon: open the room’s reservation calendar
  • Magnifying glass icon: open the interactive map viewer with the room automatically selected
  • Trash can icon: cancel the room reservation if it’s no longer needed

Seat Reservations

Shows your active and upcoming seat reservations for the next 3 weeks. The widget displays the following details for each seat reservation:

  • Location name
  • Floor name (if applicable)
  • Suite number (if applicable)
  • Seat name
  • From date and time: also known as the start of the reservation
  • To date and time: also known as the end of the reservation

You can use the < and > icons at the bottom corners of the widget to quickly navigate between multiple reservations. Additional icons provide quick access to common actions:

  • Star icon: favorite or unfavorite a seat resource
  • Calendar icon: open the seat's reservation calendar
  • Magnifying glass icon: open the interactive map viewer with the seat automatically selected
  • Trash can icon: cancel the seat reservation if it’s no longer needed

Your Current Seat Assignment

Displays your current seating assignment(s). The widget displays the following details about your seat:

  • Occupant's name
  • Office name
  • City/State
  • Floor/Suite (if applicable)
  • Seat name

You can also click on the SHOW ON MAP button to open the interactive map viewer with the seat automatically selected.


My Schedules

This widget will appear on your dashboard with the title of Seat Assignment and displays your currently active seating assignments, whether the seats are configured as assignable or as flex.

If the seat is configured as assignable, the tile within the widget displays the following details:

  • Location name
  • Location city and state
  • Floor name (if applicable)
  • Suite number (if applicable)
  • Map name (if neither floor name nor suite name exists)
  • Seat name

If the seat is configured as flex, the tile within the widget displays the following details:

  • Location name
  • Location city and state
  • Floor name (if applicable)
  • Suite number (if applicable)
  • Map name (if neither floor name nor suite name exists)
  • Seat name
  • Flex schedule name
  • Shift name
  • Next scheduled shift date and time

At the bottom of each tile is a magnifying glass icon, and when clicked, that opens the interactive map viewer with the seat automatically selected.


Favorite Reservables

Displays your favorite seats and rooms with current availability and one-tap booking.

  • Resource Name
  • Location Name
  • Floor name (if applicable)
  • Suite number (if applicable)
  • Resource type
  • Current status
  • RESERVE FOR TODAY button: if the resource is available for the remainder of the day
  • RESERVE TOMORROW button: if the resource is available for the remainder of the day
    • This button will appear as a CANCEL TOMORROW button if the following day has a reservation on the succeeding day.

You can use the < and > icons at the bottom corners of the widget to navigate between multiple resources if the list of favorited resources is wider. Additional icons provide quick access to common actions:

  • Star icon: favorite or unfavorite a seat resource
  • Calendar icon: open the seat's reservation calendar
  • Magnifying glass icon: open the interactive map viewer with the seat automatically selected

Location Capacities

This widget appears on the dashboard with the title Office Capacities and displays a table summarizing each location’s key capacity metrics, including the number of occupants, seats, parking spots, lockers, and total size.

  • Office name: the location name
  • Occupants: the total number of occupants assigned to this location as their primary location
  • Seats: the total number of seats from all maps associated with this location
  • Parking: the total number of parking spots from all maps associated with this location
  • Lockers: the total number of lockers from all maps associated with this location
  • Size: the total square footage defined in the Locations > Manage Locations section

Available Seats by Location

This widget appears on the dashboard with the title Assignable Seats Available and displays a table summarizing each location’s assignable seats by type. Seat counts are clickable, opening a pop-up that provides a detailed view of the specific seats within each category.

  • Location
  • Office seat type
  • Workstation seat type
  • Other seat type
  • Total

Location Presence List

Shows a directory list of occupants for the selected location, along with their current presence status. If an occupant has a seating assignment or reservation, that information is displayed beneath their name.


Potential Contract Tracing

This widget can be used to identify occupants who may have overlapped with a selected individual during a specified time period. It draws on Maptician data—such as seat assignments and schedules, hotel seat reservations, and room bookings—to suggest potential exposures. Results are indicative only; they are not exhaustive and do not confirm that direct contact occurred.

Options:

  • Trace Target: Select the occupant that you would like to generate a potential contacts report for.
  • Select Date Range: Select the date range to analyze for your potential contacts report.
  • Scope of Trace: Select the coverage for the potential contacts report: Distance Based, Full Floor Plan, Entire Location.
  • Trace Radius: Set the proximity radius used for Distance Based potential contacts reports.

After filling out all of the fields in the Potential Contract Tracing widget, generate a potential contacts report by clicking on Trace Potential Contacts.
