Configuring Room Signage

Before enabling the Maptician Room Signage feature, each of your conference and meeting rooms will need to be configured as reservable.  Below are the steps to configure a conference or meeting room as reservable.

  1. Log into Maptician.
  2. Select the Map Editor tab from the left-hand navigation bar, click the blue Load Map button, select the map you want to open, and click the green Load button.

  1. Once the map is open, locate the room you want to configure as reservable and select it.  This will show the room information section on the right side of the screen.
  2. In the room information section click on the Reservations tab.
  3. Next to Reservable, check the “Room is Reservable” box.  Selecting this will make the room reservable.
  4. Repeat this process for all rooms that you want to make reservable. When done, click the Save button at the top right of the window and then close the map.
Configure Meeting Room as Reservable

 To activate and configure Room Signage for your organization, log into Maptician and follow the steps below.

  1. Select the IT & Cloud tab from the navigation bar on the left side of the page.
  2. Select the Meeting Room Signage tab at the top of the page.
  1. Locate the room signage item and select the Edit Room icon.
  2. On the left side of the Room Information window, click the Room Signage tab. This is where you will configure the Room Signage settings that are listed below.

Signage App User Name

This is the User Name that you will use to log into the Room Signage web app for each room.  The User Name has a 5-character minimum and 20-character maximum requirement and is case-sensitive.  Once you have entered the name of your choosing, check the box next to “Enable Meeting Room Signage app for this room” and click the green Save Changes.

Optional: If the room signage panel has lights equipped, use the Signage Type dropdown to select from our list of supported devices.

Set Signage Password

Enter the password that will be used for logging into the room signage application.  The password must be between 8 and 15 characters, and contain an uppercase, lowercase, and a numeric character.  Once entered click the green Set Password button.  

NOTE: We suggest creating a separate list of usernames and passwords for each of the meeting and conference rooms you configure.

Set Settings Access Code

This setting is optional.  Entering a short numeric access code here (1-12 digits) will restrict access to the settings menu in the Room Signage app. Click the green Set Password button after entering the optional access code. 

Signage Background Image

This setting is optional.  This setting allows you to upload a custom background image into the Room Signage app. Click the Load Image button to select your custom image.  Once selected click the Set Image button and the image will be displayed.  It can then be selected as a background in the Room Signage application.


Set Logo Settings

This setting allows you to set the visibility settings for how you want your company's logo to appear if one has been uploaded. By default new Meeting Room Signage items have the logo enabled with a white background. If the logo was uploaded with a transparent background enabling the Enable transparent company logo background setting will have the logo also appear on the signage panel with a transparent background.

Close Active Sessions

This allows you to force close all active sessions for a room signage app.  If you click the red Close Active Sessions button you will need to log back into Room Signage on that specific device.  

NOTE: This only closes all sessions and logs out the room account for the conference or meeting room that you are viewing the settings for.

Calendar Sync

This feature is optional. If it is enabled, it will allow Maptician to sync room calendar events between Maptician’s internal reservation calendar and an external calendar. This sync may be uni-directional or bi-directional, depending on the selection. Instructions for configuring Calendar Sync can be found here: Microsoft Entra (Azure) Calendar Sync


Managing and Reporting

Meeting Room Signage devices can be managed from the Manage Meeting Room Signage section which is located under IT & Cloud > Meeting Room Signage

  • Information such as Room Location, Type, User Name, and Login URL is available here.
    • The Login URL is a link that can be used to bypass the Meeting Room Signage login screen. For more information about the Direct Login URL.
  • Your device controls are also here where you can perform a device refresh, a reset, check for a version update (if one is available), and create a new direct login URL.

Managing User Access

By default, all Admin user types have full access to the Manage Meeting Room Signage screen and all meeting rooms configured with room signage. For non-Admin users, access is controlled through their Permission Group. To enable access for these users, the following two settings must be enabled in the Reports & Analytics section:

  • Available Reports > Meeting Room Signage Status
  • Available Content by Location
    • These settings determine, by location, which Room Signage devices a user can access.

Reporting for Room Signage 

This section is available under the Reports section in Maptician.

  • Report Name: Meeting Room Signage Status
  • Available Info: Room Location, Room Name, Room Type, User Name, Version of Room Signage Application, IP Address and Settings Code.

Installing Room Signage on an iPad

  • Open Safari and enter your Maptician Room Signage URL
    • Use the following format for the URL:  https://yourcompanysubdomain.maptician.com/meeting-room/
  • Click the Share button (circled in red below)

  • Click the “Add to Home Screen” option (circled in red below)

  • On the Add to Home Screen click “Add.”  Safari will close and you should now see the shortcut for Maptician on the Home Screen.

Configuring Guided Access on an iPad 

  1. On the iPad go to Settings > Accessibility > Guided Access
  2. Turn on Guided Access
  3. Set Display Auto-Lock to “Never” 
  1. Configure a Guided Access Passcode
    1. Passcode settings: Tap “Set Guided Access Passcode” and enter a passcode
    2. IMPORTANT: Be sure to record this password for future use

  1. Launch Maptician Meeting Room Signage from the Home Screen
  2. Triple-click the Home Button
  3. Tap Start (upper right corner of the screen)

Ending Guided Access Mode

  1. Triple-click the Home button
  2. Enter your Guided Access passcode
  3. Tap End (upper left corner of the screen)
    1. NOTE:  Maptician Meeting Room Signage will still be running after ending Guided Access Mode
