About the Add-in

The Maptician Outlook Add-in brings workplace reservations into the Outlook meeting compose window. Organizers can reserve rooms, desks, and other resources, check their availability against the meeting time, see attendee and location context on a live floor plan, and request meeting services such as catering or IT setup, all without leaving Outlook. Reservations and requests sync automatically with your organization's Maptician workspace.

The add-in supports Outlook on the web, the new Outlook for Windows, classic Outlook for Windows, and Outlook for Mac, for mailboxes hosted on Exchange Online.

Before You Begin

You will need the following:

  • Your organization's Maptician Office 365 Integration must be configured and active. Your Maptician administrator manages this in Maptician under Settings > Environment.
  • Users must be provisioned in Maptician with their Microsoft Entra identity (typically via your existing SSO / SCIM provisioning), so the add-in can sign them in silently.
  • Your organization's Maptician subdomain, the address you use to reach Maptician:
https://{your-subdomain}.maptician.com
  • A Microsoft 365 account with Global Administrator rights (or equivalent rights to grant Entra admin consent and deploy integrated apps).

ℹ️ NOTE

Throughout this guide, replace your-subdomain and {your-tenant-id} with your organization's values. The exact, ready-to-use links for your organization are shown in Maptician under Settings > Environment > Outlook Add-in.

Step 1: Grant Admin Consent in Microsoft Entra

The add-in signs users in through Maptician's multi-tenant Entra application. A one-time, tenant-wide admin consent lets your users sign in without individual prompts. There is no customer-side app registration to create.

  1. As an Entra administrator, open:
https://login.microsoftonline.com/{your-tenant-id}/adminconsent?client_id=7d736efc-efb7-4246-935a-0eefe90d34cb
  1. Review the requested sign-in permissions and accept on behalf of your organization.

Step 2: Download Your Add-in Package

Download the deployment package (a small .zip containing the add-in manifest and icons) from either location:

  • In Maptician: Settings > Environment > Outlook Add-in > Download Add-in Package, OR
  • Directly:
https://{your-subdomain}.maptician.com/outlook_addin/manifest.zip

⚠️ IMPORTANT

The package is generated specifically for your organization's Maptician subdomain. Always download it from your Maptician address, and do not reuse a package from another organization.

Step 3: Deploy Through the Microsoft 365 Admin Center

  1. Open https://admin.cloud.microsoft/
  2. Go to Settings > Integrated apps.
  3. Choose Upload custom apps.
  1. For the app type, select Teams app.
  2. Choose Upload manifest file (.zip) and select the package you downloaded previously.
  3. Assign users. We recommend starting with a small pilot group, then expanding to your entire organization once verified.
  4. Click Accept permissions and log in as your Microsoft Entra ID user.
  1. Choose to accept the requested permissions.
  2. Click Next.
  3. Review the selected settings and click Finish deployment.

ℹ️ NOTE

Deployment can take up to 24 hours to reach all users. The add-in button appears in Outlook automatically once propagation completes. Users do not install anything themselves.

Step 4: Verify the Deployment

  • In Outlook, create or open a meeting as the organizer. The Maptician button appears on the meeting toolbar (ribbon).
  • Opening the pane signs the user in automatically, with no credential prompts.
  • Add a Maptician-managed room to a test meeting and send it. The reservation appears in Maptician within moments.

Updates

The add-in's behavior and interface are served live from Maptician, so most improvements reach your users automatically with no action on your part.

Occasionally an update changes the add-in's manifest itself, for example a new ribbon command or a change to send-time behavior. Microsoft requires a higher manifest version for these, so they are not picked up automatically. When Maptician ships such an update, re-download the package (Step 2) and re-upload it under Integrated apps (Step 3). The admin center installs the new version in place. Maptician support will let you know when a manifest update is needed.

Troubleshooting

For anything else not listed below, contact your Maptician representative. Include your Maptician subdomain and a screenshot where possible.

The Maptician button doesn't appear in Outlook

Deployment is still propagating (allow up to 24 hours), or the user isn't in the assigned group. Restarting the Outlook app or signing out and back in to Outlook on the web picks up newly deployed add-ins sooner.

Users see repeated sign-in prompts or a sign-in error

Admin consent (Step 1) has not been granted, or the user is not provisioned in Maptician with their Microsoft Entra identity. Verify both, then retry.

The pane opens but shows no meeting details

Ensure the meeting is opened from a mailbox hosted on Exchange Online and that the user opens it as organizer or attendee from their own calendar.
